A/ACD - Position Vacancy Timeline SOP

Purpose

The purpose of this SOP is to establish a clear and consistent timeline for filling vacant positions within the 7th Cavalry Tactical Realism Group. This ensures that leadership roles and other critical billets are not left unfilled for excessive periods, which may impede unit efficiency, morale, and continuity of operations. This SOP only applies to posted Position Announcements. It should not be interpreted to mean that all position vacancies in A/ACD MUST be filled.

Scope

This SOP applies to all echelons within the 7th Cavalry Tactical Realism Group responsible for staffing and billet assignments, including but not limited to Platoon Staff, Company Staff, and Battalion-level Staff across all supported platforms and games.

Policy

Upon a position opening being announced, the following timeline and procedures will be followed:

Phase 1 – Application Period (Week 1)

  • Applications will be open for a period of 7 calendar days after the Position Announcement is made.
  • During this time, qualified candidates may submit their interest in writing as directed in the announcement.

Phase 2 – Interview Period (Week 2)

  • Interviews will be conducted by the relevant Staff during the second week.
  • Interviews must be completed by the end of this 7-day period unless an approved extension is granted.

Phase 3 – Selection and Decision (Within 72 Hours of Interviews Ending)

  • After interviews conclude, the Staff responsible must deliberate and make a final selection within 72 hours.
  • All discussions regarding candidates should be timely, professional, and based on merit and qualifications.

Phase 4 – Appointment Announcement (Immediately Upon Decision)

  • The selected candidate shall be announced immediately upon decision, and their assignment recorded in all applicable rosters and documentation.

Total Timeframe

The full timeline from initial vacancy to appointment announcement shall not exceed 17 to 21 days total (approximately 2½ to 3 weeks).

Extensions and Exceptions

In the event of extenuating circumstances (e.g., unanticipated real-life issues, LOAs, or other disruptions), the deciding authority must notify and request an extension from the next higher echelon of command.

  • Platoon-level Staff must communicate with Company Staff
  • Company-level Staff must communicate with Battalion Staff

The request must be made prior to the lapse of any deadline and include the justification for delay and expected resolution timeline.

Accountability

Failure to adhere to the timeline outlined in this SOP, or to appropriately communicate and request an extension when necessary, may result in administrative or disciplinary action as determined by the next higher command authority

Effective Date

This SOP is effective immediately upon publication and remains in force until amended or revoked by BN-level directive.
