Purpose

The purpose of this SOP is to establish a standardized process for the creation, review, and approval of content within the S5 Department of the 7th Cavalry Gaming Regiment. This ensures all content produced meets the regiment's standards for quality, accuracy, and alignment with its core values.

Content Creation Process

All content created under the S5 Department must follow a structured process to ensure consistency and adherence to the regiment’s guidelines. This includes the initial concept, draft creation, review, revisions, and final approval stages.

  • Initiation: The content creation process begins with a request or concept proposal, which must be documented and submitted through the appropriate channels.
  • Assignment: Content creation tasks will be assigned by the Department Lead or AO Lead to the appropriate personnel based on their skills and availability.

Content Categories

Content produced by the S5 Department falls into several categories, each with its specific requirements:

  • Graphics: Includes social media graphics, banners, signatures, and any visual content.
  • Video: Includes promotional videos, recruitment videos, and other multimedia projects.
  • Written Content: Includes articles, press releases, and official communications.
  • Social Media Posts: Includes content intended for platforms like Facebook, Instagram, X, and Reddit.

Submission Guide

  • Format: Content must be submitted in the specified format (e.g., .PNG for graphics, .MP4 for videos, .DOCX for written content).
  • File Naming Conventions: All files must be named according to the S5 Department's naming conventions, which include the project name, creator initials, and date (e.g., “Recruitment_Video_ElmsD_090924.mp4”).
  • Submission Platform: All content must be uploaded to the designated platform (e.g., Google Drive, Discord channel) for review.

Review and Approval Process

  • Initial Review: Upon submission, content will be reviewed by the Department Lead or Senior Clerk to ensure it meets basic guidelines and quality standards.
  • Detailed Review: The AO Lead or Department Lead will conduct a more thorough review, focusing on accuracy, branding consistency, and adherence to the 7th Cavalry’s values.
  • Approval Decision: The content will either be approved, returned for revisions, or rejected if it does not meet the required standards.

Deadline and Turnaround Times

  • Graphics: 14 days from the acceptance of the project to completion.
  • Video: Varies by project, with typical turnaround times of 14-30 days depending on complexity.
  • Written Content: 7 days from assignment to submission.
  • Social Media Posts: Immediate to 3 days, depending on the urgency of the content.

Feedback and Revisions

  • Feedback Process: Reviewers will provide constructive feedback on any necessary revisions. This feedback should be specific, actionable, and delivered promptly.
  • Revision Timeline: Creators must address feedback and resubmit their content within 3 days of receiving the feedback.
  • Second Review: Revised content will undergo a second review to ensure all feedback has been addressed and the content now meets the required standards.

Final Approval and Publication

  • Final Approval: Once the content passes all review stages, it will be given final approval by the S5 1IC or 2IC.
  • Publication: Approved content will be published or distributed through the appropriate channels by the designated team member.
  • Archiving: All final content must be archived in the S5 Department’s shared drive, organized by content category and project date.

Non-Compliance and Consequences

  • Missed Deadlines: Failure to meet submission deadlines without prior notice may result in a formal warning or reassignment of tasks.
  • Low-Quality Submissions: Submitting content that consistently fails to meet quality standards may lead to additional training or disciplinary actions.
  • Unapproved Content: Publishing or distributing content without proper approval will result in immediate corrective action, including potential removal from the S5 Department.
