Introduction
This SOP serves as a general overview of the S1 Citations sub-department, its structure, and policies.
Mission
The S1 Citations sub-department is responsible for creating citations for all medals, awards, and promotions; officially posting the majority of promotions and medals awarded; and tracking statutory promotions and Good Conduct Medal eligibility within the 7th Cavalry Gaming Regiment. It consists of a Lead, Senior Clerks, and Clerks who cover multiple Areas of Operations (AOs) in order to satisfy the department's challenging workload.
Roles and Responsibilities
Citations Lead | Maintains the sub-department and its infrastructure. Recruits and assigns new clerks within the sub-department. Serves as a Liaison between S1 HQ and members of the sub-department. Assigns/completes tasks related to the sub-department. |
Citations Senior Clerk | Maintains his/her assigned AO(s); Trains new clerks assigned to them, delegates/completes tasks when necessary, and ensures all tasks within his/her AO(s) are completed accurately and punctually. |
Citations Clerk | Assigned to one or more AO(s). Completes tasks delegated to him/her by the AO Senior Clerk accurately and punctually. |
Citations Clerk in Training | Assigned to a Senior Clerk during training. Completes all tasks delegated to him/her by the assigned Senior Clerk during training. |
Structure
The S1 Citations sub-department comprises multiple AOs which serve the tasks of the sub-department. They are as follows:
- Promotions and RTC graduates.
- Statutory Promotions and Of the Quarter Awards
- Medals & Awards
- Citations Tracker
Areas of Operation
The Promotions and RTC graduates AO has one assigned clerk. He/She creates the citation for, and officially posts, all approved promotions within the 7th Cavalry Gaming Regiment. He/she also creates the Citation Folder and citation for all boot camp graduates.
The Statutory Promotions and Of the Quarter Awards AO has one assigned clerk. He/She creates the citation for, and officially posts, all statutory promotions (PFC to CPL/WO1) within the 7th Cavalry Gaming Regiment. He/She creates the citation for, and officially posts, all Of the Quarter awards. He/She also officially posts all Good Conduct medals.
The Medals & Awards AO has one assigned clerk (optional second clerk). He/She/They create the citation for, and officially post, all approved medals and awards within the 7th Cavalry Gaming Regiment. He/She/They also create the citation for, and officially post, most statutory medals/awards within the 7th Cavalry Gaming Regiment.
The Citations Tracker AO has one assigned clerk (optional second clerk). He/She/They process data utilised by the S1 Citations sub-department's spreadsheet (Citations Tracker). He/She/They also help troubleshoot and repair the Citations Tracker when necessary.
Senior Clerks
The S1 Citations sub-department has two Senior Clerks: one Tracker Senior Clerk and one AO Senior Clerk. The Tracker Senior Clerk is responsible for the Citations Tracker AO. The AO Senior Clerk is responsible for the other three AOs.
Policy
The S1 Citations sub-department has adopted general policies to help achieve its mission and maintain its role within the S1 Department and the 7th Cavalry Gaming Regiment. They are as follows:
- A 48 hour deadline for all Promotion, RTC graduate, and Medal/Award citation creation and official posting from time of approval.Does not apply to Statutory Promotion or Good Conduct medal posts.
- Statutory Promotions are posted every Saturday.
- Good Conduct Medals are posted the last Saturday of every month.
- Members of the S1 Citations sub-department are responsible for maintaining and utilising vital information to the 7th Cavalry Gaming Regiment. They also require special privileges to fulfill their obligations within the sub-department.Abuse of any information or privileges obtained through their appointment within S1 Citations will result in immediate removal from the S1 Citations sub-department and may result in further disciplinary action.
