Introduction
The purpose of the Roles and Responsibilities is too provide guidance on the respective roles & responsibilities for the S1 Operations Sub department.
Mission
The S1 Operations Department is tasked with the various information process flows across the Regiment. The Operations department is the backbone for S1 information as it controls the tracking for statutory awards and promotions, keeps documentation on combat actions and awards resulting from campaigns. Due to this, it is essential that the department complete their duties in a timely and accurate manner as misinformation could lead to missed promotions or wrongfully filed MILPACS records.
Chain of Command
The S1 Branch is divided into three levels of command. The overall Branch is led by the S1, S1 Executive Officer, and the S1 Non-Commissioned Officer in Charge. Each Sub-Branch Cell has an assigned Lead, and each Area of Operations (AO) also has a Lead. Clerks work for an AO Lead, who is responsible to each Sub-Branch Cell Lead.
Roles and Responsibilities
Branch Leadership
These responsibilities apply to the S1, S1 XO, and S1 NCOIC.
Responsibilities
Responsibility | Description |
Guidance | Provide guidance to Operations Sub-Department Lead. |
Quality Assurance | Ensure technical functionality of trackers is guaranteed. Whenever there is a technical failure, Command Staff is responsible to ensure this is resolved. Detailed knowledge on the tracker is vital for Headquarters as such. |
Tracking | Monitor GC and AAR trackers for correctness |
Tracking | Ensure Disciplinary actions are transferred to the respective trackers. |
Monitoring | Monitor ELOA tracker and discharge troopers that don't return from ELOA. |
Operations Department Head
The Operations Department Lead is responsible to the S1 Branch for all operations tracking and administration.
Responsibilities
Responsibility | Description |
Tracking | Ensures AO Leads are performing all of their duties in a timely manner. |
Available and Open for Feedback | Handle any department related issues or questions or forward these to the S1 Headquarters |
Provide Direction | Verbally counsel staff as required to ensure adherence to rules/regulations/policies/codes. |
Maintain Currency | Update and maintain departmental SOP as required |
User Permissions | Ensure all members have the correct access to all resources required to allow them to fulfill their job requirements (Various sheets & Owncloud). |
Accountability | Personnel accountability - monitor for changes to Departmental strength. |
Prepared to assume higher position | Fulfill AO Lead duties as required in case of absence or work load. |
Available to Clerks | Answer any questions the Clerks or AO Leads may have. |
Timely and Responsible | Make contact with new Trainee's within 24hrs of Position Announcement via PM. |
Maintain Situational Awareness | Maintain the Operations Clerk Tracker. |
Pass Direction and Guidance | Follow directions from S1 Command Staff. |
Technical Reporting | Directly contact S1 Command Staff for technical issues with the Trackers. |
Area of Operations Lead
The Area of Operations Lead is responsible for a specific AO or game environment.
Responsibilities
Responsibility | Description |
Supervision | Ensure Clerks are performing all of their duties in a timely manner. |
Training | Hold Training Sessions with Trainees. |
Oversight | Closely follow work of Trainees and Clerks and check their work within 48hrs. |
Communication | Let Clerks know of any work approaching or past the deadline in the Clerk PM. |
Available to Clerks | Answer any questions the Clerks may have. |
Quality Control | Perform Lead Checks within 1 week of posting. |
Operations Clerk
Operations Clerks are experts in military administration, and carry out these duties on time and with precision.
Responsibilities
Responsibility | Description |
Attention to Detail | Ensure no posts or actions in your AO go over the specified deadline. |
Timeliness | Ensure work past the deadline is completed immediately. |
Issue Reporting | Notify AO Leads of any issues or technical problems. |
Operations Trainee
Operations Trainees learn the basics in military administration required to function as Operations Clerks.
Responsibilities
Responsibility | Description |
Training | Familiarize yourself with the AO by working under supervision. |
Communication | Make sure you set up and attend your 2 training sessions with Operations Staff. |
Questioning | Refer any questions you may have to your AO Lead or fellow clerks. |
Adherence to Policy | DO NOT UPDATE OR CHANGE anything you are uncertain of, unless under supervision. |
Issue Reporting | Notify AO Leads of any issues or technical problems. |
Adherence to Policy | Follow directions from the above CoC. |
