S2 Initial Background Checks / Information Policy

What we will check

The 7th Cavalry Regiment will conduct a basic initial applicant screening based off information provided by the applicant during the application process. We will review candidate suitability based on the following captured details;

  • SteamID of the Applicant
  • BattleMetrics ID
  • Player IP as recorded by our forums against the BattleMetrics ID
  • Past Clan affiliations as stated by the applicant


We will review the SteamID of the applicant against VAC ban records as held by Valve. Any found bans under the five-year rule will be cause for immediate termination of the application process/membership period. We will run the SteamID/Steam profile name through Google to see if there are any other clans listed as current memberships.

We will review the BattleMetrics ID of the applicant as recorded by our BattleMetrics system in any applicable game property against the BattleMetrics Master Player Index (MPi) ( currently the Cav does not operate a PBBAN game, but this may change in the future ).

We will review the Player IP address as recorded by our forum system, against the BattleMetrics Master Player Index (MPi) for any associated bans.

We will attempt to touch base with Prior clan affiliations where relevant in order to ensure we are not poaching other community members, and that you have previously resigned. In most cases this would relate only to the immediately preceding community, with exceptions for applicants who state that they ran/operated a given community. Where possible we will make every effort to be as discrete as possible, checking only a publicly posted members list if it is available.

What will we not check

We will not run an applicant email or IP address through any non stated system or for any non stated purpose as explicitly outlined above, during the initial screening process. We will not run any IRL information that may be found during our process.

When we will check it

All applicants will undergo the basic screening when they apply to The Regiment. Further to this initial review, we will on a quarterly basis, take a sample no less than 1/3 of the regiment, and recheck against VAC and BattleMetrics records.

This sampling will be conducted in such a manner that any individual member will be checked against current VAC & Battle Eye GUID records on a twice-yearly basis.

How we will store / log those checks

The Regiment will store the initial application checks and routine ban record reviews within the S2 Folders section of our forums. We may retain on a short term basis working notes on the local machines of S2 staff for the purpose of the work.

Why we will check it

The Regiment has a vested interest in assuring a hack free community. Our participation previously as a PBBAN streaming admin required this stance as part of the streaming agreement. As a community we have all agreed that multiplayer cheating is poor form, and should not be tolerated.

As we continue to participate in e-sports activities and external match ups with other communities in our active games, we seek to retain our public credentials as a no-go zone for hacking/cheating. For this reason, players with VAC & PBBANS in [I]any game[/I] are barred entry.

Who will have access to it

The Regiment will afford access to membership checks on an as needed basis only. Members of the Regimental Command Team and S2 Departments will be the only persons with direct access to the stored checks held on the forum as aforementioned elsewhere in this document.

How long will it be retained

Basic membership/applicant checks will be retained indefinitely.


Fraudulent Enlistments

What constitutes fraudulent enlistment

If we discover by deed or statement that there was material misrepresentation with regards to an applicant/members age and or clan affiliation at the time of enlistment, that member will be considered to have enlisted fraudulently.

How will we deal with fraudulent enlistment

Applicants/members who apply while underage, and or fail to disclose current clan affiliations during the application process, which are later uncovered will be removed upon verification of the discovery.

Members removed on these grounds will have their case reviewed by the Regimental Executive Officer and Regimental Commander directly who will make a final call at their discretion.

Members removed on these grounds will not be covered under standard CAV-UCMJ processes, and will not be eligible for trial by court-martial. Members removed on these grounds may or may not be barred from future re-enlistment, depending on the nature of the discovery. The Regimental Command reserves all options on a case by case basis.

Disclaimer with regards to Command investigations

In the event that a prejudicial investigation is opened on a member, due to allegations of member harassment, mutiny, sedition, treason, or other not listed where seeing external materials would be required, The Regimental Commander reserves the right to authorize a full review of additional scope.

This could be required if one member alleges that another is harassing them via social media, private message, or some other medium, or for example under allegations that a member was registered on ARMAHOLIC distributing private Cav maps / manuals / materials without the original author or responsible parties consent.

Under normal circumstances, we have no need to even check these external sites/resources, but in special situations like the exemplars above, we would need to review the external resource within the limits of it's involvement with the accusations.

In those instances, we would review no further than directly relevant to the allegations being investigated.

In the event that a prejudicial investigation is conducted, the affected member will be notified in writing of the Commander's intent to aggressively investigate, and be given three days to respond. The member may at that time elect to either agree to the investigation, take action to otherwise address the concerns, and or resign their position outright.

Regarding S2 Department Membership, and deviations from the scope.

In the event The Regiment becomes aware that Investigators have acted outside the scope and authority of their role, that member will be suspended from participation in investigations for the duration of any review.

A review will be conducted by the Regimental Commander, Regimental Executive Officer, and any other designee into the allegations. If upon completion of that review, there exists sufficient material to affirm the allegations of misconduct, a Court Martial will be convened.

If there is a final judgement of malfeasance, the prior investigator will be removed from The Regiment with immediate effect, and stripped of all titles and regalia, with a dishonorable discharge.

It is the responsibility of Investigators to be mindful of their actions, and to report any deviation from the policies. Members who are directly aware of such misconduct, but who do not report it, while not directly responsible for the misconduct, will still be removed from the department and may face reduction in grade or other relevant action.
