Introduction

This SOP serves as an overview of the Areas of Operation the S1 Citations sub-department is responsible for. It explains how each area of operation (AO) functions and what each AO does.

Mission

The S1 Citations sub-department has many responsibilities. These responsibilities are broken down into different AOs to help manage them. This SOP should not only help you understand these AOs, but also how to operate within them.

Areas of Operation

Each AO is comprised of one or two clerks with a Senior Clerk supervising them. The AOs are as follows:

Promotions and RTC Graduations

The Promotions and RTC Graduations AO is responsible for:

  • Creating promotion citations for approved promotions (found here). An "NCO Professional Development Ribbon" citation is also created for promotions from E-5 (SGT) to E-9 (CSM). Refer to the Promotion Guidelines Wiki section to see the approval authority for promotions. Once the approval authority has recommended or approved a promotion, their citations are to be created and uploaded to the 7th Cavalry's NextCloud within 48 hours.
  • Posting approved promotions in the promotions section of the forum. Refer to the Promotion Guidelines wiki section to see the approval authority for promotions. Utilize this Promotion Post Template to see the proper promotion format for promotion posts. Once the approval authority has recommended or approved a promotion, it is to be posted in the promotions section of the forum after the citation was created and within 48 hours.
  • Creating citation folders and promotion citations for all boot camp graduates (found here under "RTC Graduates" threads) and uploading them to the 7th Cavalry's NextCloud within 48 hours after the graduation post.
  • Creating citations for promotions that have not gone through the recommendation process (found in the promotions section of the forum) and uploading them to the 7th Cavalry's NextCloud within 48 hours.
Medals & Awards

The Medals & Awards AO is responsible for:

  • Creating citations for approved and statutory awards (found here). Refer to the Awards and Decorations wiki to find the approval authority for all medals and awards within the 7th Cavalry (statutory awards do not require approval). The citation must follow this template. Once the approval authority has approved the medal (or a statutory medal was recommended), their citations are to be created and uploaded to the 7th Cavalry's NextCloud within 48 hours.
  • Posting approved or statutory medals in the Awards section of the forum. Utilize this template when posting new awards (looking at previously posted awards can also help you follow the proper guidelines for posting an award since they can vary slightly). Utilize this wiki page for any medal boxes you cannot find. Once the approval authority has approved a medal (or a statutory medal was recommended), they are to be posted in the Awards section of the forum after citation creation and within 48 hours.
  • Creating citations for awards that have not gone through the recommendation process (found in the same Awards section of the forum) and uploading them to the 7th Cavalry's NextCloud within 48 hours.
Statutory Promotions and Of the Quarter Awards

The Statutory Promotions and Of the Quarter Awards AO is responsible for:

  • Utilizing the S1 Citations GC Tracker to perform their duties. This tracker provides information on who is due for statutory promotions and Good Conduct Medals.
  • Creating the citations for all PFC - CPL/WO1 promotions (statutory promotions) that take place within the 7th Cavalry. These promotions are done in batches weekly (on Saturdays). Every trooper who should receive a statutory promotion over the week (Sunday to Saturday) has a promotion citation created that Saturday and uploaded to the 7th Cavalry NextCloud.
  • Posting all statutory promotions in the Promotions section of the forum after citation creation and on the same Saturday. They are posted by rank and not by individual trooper (example).
  • Posting all Good Conduct Medals to the Awards section of the forum. This is a single award post, done on the last Saturday of the month, and should include every trooper who receives a Good Conduct Medal throughout the month (example).
  • Creating the citation for all approved "Of the Quarter Awards" posted in the Medal Recommendations section of the forum (recommended by Battalion Staff). Once an "Of the Quarter Awards" recommendation has been made by Battalion Staff, their citations are to be created and uploaded to the 7th Cavalry's NextCloud within 48 hours.
  • Posting the "Of the Quarter Awards" in the Awards section of the forum (example). Once the "Of the Quarter Awards" recommendation is made, it is to be posted in the awards section of the forum after citation creation and within 48 hours.
Citations Tracker

The Citations Tracker AO is responsible for:

  • Maintaining the Citations Tracker and troubleshooting issues when necessary.
  • Adding all unassigned troopers (found in the Citations Tracker's "Unassigned" tab) to the Citations Tracker's "Active" tab every Monday. The unassigned trooper must have a boot camp graduation date before being added to the "Active" tab.
  • Adding all boot camp graduates (found here under "RTC Graduates" posts) over the past week to the Citations Tracker's "Active" tab every Monday.
  • Adding all re-enlistments (found here under posts labeled "RRD") over the past week to the Citations Tracker's "Active" tab every Tuesday.
  • Checking all Non-Commissioned Officer Academy Phase II graduates, Server Administration Course attendees, Arma 3 Advanced Flight Qualification Evaluation graduates, and Squad Rotary Wing Operations Course graduates (all found in the Graduationssection of the forum) over the past week and updating their information on the Citations Tracker every Wednesday.
  • Removing all discharged troopers (found in the Dischargessection of the forum) over the past week from the Citations Tracker every Thursday.
  • Updating all ELOA information (found in the ELOAsection of the forum) over the past week on the Citation Tracker every Friday.
  • Updating all "No Favorable Action" time on the Citations Tracker.
  • Auditing the past weeks Tracker information before statutory promotions are posted every Saturday.
